Overview of the Role


This role involves close collaboration with internal program and finance teams to oversee the grant- making process and will be fully responsible for the financial management and compliance related to these 20 sub-grants. While they will have limited direct interactions with main donors they will play a critical role in developing executing and evaluating program and grant-making strategies for these sub-grants to further CREA’s goals as well as securing and stewarding funding to achieve strategic objectives. This position will be highly dynamic requiring excellent program development and management skills analytical thinking drafting skills and the ability to work independently.

Job Description


1.Grant Lifecycle Management & Donor Compliance
• Lead the management of the full grant lifecycle reporting and closeout ensuring alignment with organizational strategy and donor requirements.
• Develop implement and maintain robust grant management systems policies and procedures to ensure compliance with donor regulations (including FCRA where applicable) and internal organizational standards.
• Serve as the primary point of contact for the donors on all kinds of reporting matters fostering positive and transparent relationships.
• Ensure timely and accurate submission of all grant-related deliverables including financial and narrative reports work plans and other required documentation.
• Oversee the preparation of timely accurate and compelling donor reports that highlight program impact financial stewardship and adherence to grant agreements.
• Ensure all grant documentation is maintained to meet internal audit readiness standards and external donor requirements.
• Stay abreast of donor priorities regulations and reporting standards proactively communicating changes and implications to relevant internal teams.
2.Program Development and Management:
• Drive the development planning and oversight of program initiatives including grant- making activities.
• Lead program expansion efforts and identify new grant-making opportunities conducting thorough context and organisational mapping.
• Design and implement strategies for strengthening partners’ capacities through technical support tailored program development and learning opportunities including enhancing documentation skills.
• Provide comprehensive support and robust monitoring of sub-grantees’ program implementation ensuring adherence to work plans and effective MEL frameworks.
• Organise and facilitate strategic meetings and convenings for program and grant-related discussions ensuring maximum accessibility for all participants.
• Provide direct capacity-building support to grantee-partners to enhance their program delivery capabilities.
• Continuously monitor ongoing program and grant projects ensuring collective compliance with donor guidelines reporting requirements and achievement of program deliverables.
3.Financial Oversight & Budget Management
• Collaborate closely with finance and program teams to manage grant budgets ensuring alignment with program activities and donor guidelines.
• Monitor grant expenditures against approved budgets identifying variances and working with program teams to ensure efficient utilisation of funds.
• Review financial reports for accuracy and alignment with donor reporting requirements.
• Work with the finance team to ensure expenditures adhere to statutory regulations (e.g. FCRA) and donor expenditure norms.
4.Proposal Development & Resource Mobilisation Support
• Support the Program team in the development of high-quality concept notes and proposals ensuring alignment with donor calls organisational priorities and programmatic objectives.
• Contribute to resource mobilisation strategies by identifying new funding opportunities and analysing donor landscapes.
• Support the development of compelling donor communication materials including progress summaries learning documents and impact stories that contribute to donor engagement and future funding opportunities.
5.Internal Coordination Communication & Capacity Building
• Foster open communication and collaboration between all network and grantee partners in Rajasthan ensuring alignment on project objectives work plans and deliverables.
• Build and maintain positive relationships with network and grantee partners through regular communication updates on project progress and timely sharing of information.
• Facilitate effective communication and coordination between program teams finance MEL and senior leadership on all grant-related matters.
• Provide guidance and capacity building to program staff on donor regulations reporting requirements and grant management best practices.
• Monitor ongoing grant project to ensure collective compliance with donor guidelines reporting requirements and program deliverables.
• Lead internal review processes for proposals and reports coordinating inputs from grantee partners to ensure quality control and adherence to deadlines.
• Identify and address any challenges or risks related to grant implementation and compliance working collaboratively with internal teams and grantee partners to find solutions.
• Create and facilitate learning and skilling opportunities across the grantee.


Required & Preferred Qualifications


Skill

• In-depth knowledge of financial and narrative reporting requirements of international donors.
• Strong stakeholder management skills particularly with donors and external partners.
• Strong proficiency in Microsoft Office Suite (PPT Excel Word) and experience with budget and grant management will be crucial.
• Excellent verbal and writing skills in English and Hindi along with strong communication skills with both internal and external audiences.
• Detail-oriented and takes initiative with an ability to self-motivate and produce high-quality products.
• Flexibility with undertaking frequent travels.
• Flexibility to work across time zones.
• Proficient in resolving conflicts.
• Excellent written and spoken English. Proficiency in Hindi or other relevant local languages is a plus.

Experience

• Demonstrable experience managing grants from major institutional donors. • Proven experience in developing and reviewing grant proposals budgets and reports. • Demonstrated experience in coordinating and collaborating with multiple partners. • Experience in communicating and coordinating with top management. • Experience providing operational support and capacity building to partners is an asset. • Working experience with structurally excluded communities will be considered a significant asset.
