Overview of the Role
Associate - Project Coordination is responsible for supporting the successful execution of projects by assisting in team coordination, vendor management, and communication among stakeholders. This role focuses on ensuring smooth operations by managing documentation, tracking compliance, and monitoring risks, all while providing critical administrative and logistical support to the lead coordinator. The Associate helps maintain project timelines, quality standards, and budget controls, enabling the team to achieve objectives efficiently and effectively.
Job Description
Team Support and Coordination:
• Assist in setting team goals by gathering input from team members and ensuring that assigned tasks align with individual expertise and project requirements.
• Facilitate smooth collaboration by coordinating schedules, following up on action items, and ensuring effective communication between departments as directed by the lead.
Vendor Management
• Support in compiling necessary data, preparing initial drafts of contracts, and ensuring that vendor proposals meet basic project requirements before presenting them to the lead.
• Help maintain vendor relationships by tracking contract timelines, monitoring vendor performance, and escalating any issues to the lead for resolution.
Ensuring Regulatory And Safety Compliance
• Monitor adherence to contract terms by tracking deadlines, budget limits, and quality standards, reporting deviations to the lead for further action.
• Coordinate with legal, finance, and procurement teams to ensure updates or amendments to contracts are implemented efficiently under the lead’s guidance.
Stakeholder Engagement
• Serve as a point of contact for routine project updates, providing stakeholders with regular progress information and referring complex issues to the lead.
• Implement and maintain the communication plan by preparing meeting agendas, updating digital platforms, and ensuring stakeholders receive accurate and timely information.
Documentation And Reporting
• Assist in organizing and maintaining project documentation, including contracts, reports, and communications, ensuring they are up-to-date and easily accessible for the team.
• Compile draft progress reports, summarizing project milestones, challenges, and key updates for review and approval by the lead.
• Create Standard Operating Procedures (SOPs) with guidance from senior leaders, ensuring alignment with organizational best practices.
Risk Management
• Identify potential risks by reviewing project schedules, vendor performance, and team progress, flagging concerns for discussion with the lead.
• Help develop contingency plans by gathering necessary data, supporting brainstorming sessions, and ensuring that all adjustments are documented for future reference.
Required & Preferred Qualifications
Education
• Bachelor’s degree in Engineering (Civil, Mechanical, Electrical, or Renewable Energy) or a related technical field • Master’s degree in Business Administration, Project Management, or a related field (preferred) • Certification in contract management or procurement (e.g., CIPS, CMP) is a plus
Experience
5-7 years of experience in project coordination or management, with a focus on contract compliance and cross-functional team coordination Proven experience in managing vendor relationships, negotiating contracts, and ensuring adherence to timelines and budgets Experience working in renewable energy, construction, or industrial projects is preferred Strong communication skills and experience working directly with clients, vendors, and internal teams
