Overview of the Role
We are seeking suitable candidates for the position of Program Manager based in Mumbai. It is a critical role in program team of HelpAge India and requires frequent travel across the state for implementation, monitoring, reporting of program interventions. This role will be responsible for on-ground program implementation, ensuring timely and quality delivery of services across project locations in Maharashtra. The Program Manager will very work closely with field teams, local stakeholders, and internal departments to ensure that program activities are done in time and objectives are met effectively and efficiently.
Job Description
Project Design and Development
• Understand the project activities, outputs and outcomes
• Lead and contribute to the end-to-end designing of projects, from ideation to execution, ensuring alignment with organizational goals and community needs.
• Collaborate with internal team and external stakeholders to define project scope, objectives, deliverables, and timelines.
• Integrate innovative approaches and best practices to enhance project effectiveness and sustainability.
Program implementation and field level coordination
• Lead and oversee the day-to-day execution of program activities across assigned districts.
• Ensure timely delivery of project outputs in line with agreed plans and donor requirements.
• Provide hands-on support and guidance to field teams to troubleshoot challenges and improve service delivery.
• Regular field visits to monitor progress, ensure quality standards, and gather feedback from communities. Facilitate community engagement and ensure participation of older persons in program planning and feedback.
• Support State Head and collaborate with Resource Mobilization team to explore funding opportunities, especially CSR and local funds.
• Generate program data and content for donor acquisition and reporting
• Support State Head in conducting risk assessment of programs, propose actions and incorporate risk mitigation strategies in planning.
Monitoring Reporting and Documentation
• Prepare detailed budgets for all projects, ensuring optimal allocation and effective use of resources.
• Coordinate with implementation team to implement on ground programs, ensuring timely spends and financial as well as program reporting
• Track program progress using internal tools and formats; ensure timely data collection and reporting. Support the preparation of monthly, quarterly, and annual reports for internal and donor use.
• Monitor expenditures and ensure financial compliance with internal policies, statutory and donor requirements.
Team management
• Coordinate the work of reportees and project staff to ensure project timelines and quality are adhered to
• Build the capacity of field teams through on-site and offsite mentoring and training sessions
• Work closely with the mission teams to strengthen program integration.
Required & Preferred Qualifications
Skill
• Experience of working at the grassroots level and with marginalized communities, working with the older people will be added advantage.
• Excellent communication skills, both written as well as oral
• Good presentation and PR skills
• Adept at using computers and advance technology
• Should be sensitive to the cause of the organization
Education
Master’s degree in Social Work, Public Health, Development Studies, Rural Management, or a related field.
Experience
5–8 years of relevant experience in program management, preferably in the development or NGO sector
