Job Summary

The Project Grant and Compliance Manager will be mainly responsible for the financial and related non-financial management of federal and non-federal grants, ensuring compliance with US National Institutes of Health (NIH) financial guidelines, managing budgets, and overseeing and monitoring all financial aspects related to projects including assessing potentials risks and issues. This role requires a thorough understanding of NIH grant mechanisms, federal compliance regulations, other funder grant and compliance mechanisms as relevant, and financial reporting requirements. The selected individual will also be required to coordinate with administrative, human resources teams to ensure timely preparation and submission of the reports.

Requirement/Eligibility

Required Experience: Minimum 3-5 Years

  • Chartered accountant and/or Master’s degree in Finance, Accounting, or related field; advanced degree or certification (e.g., CPA) preferred.
  • Minimum 3-5 years of total experience in the Finance domain, out of which a minimum of 3 years of experience in managing grants, specifically NIH grants, with a deep understanding of NIH policies and regulations.
  • Must have working knowledge of FCRA, Income Tax and GST rules.
  • Strong financial analysis, budgeting, and accounting skills. Proficiency in financial software and systems.
  • Understanding of administrative, human resource and organizational management.
  • Excellent organizational, communication, and interpersonal skills.

Key Responsibilities

Contract Review

  • Review the contract in line with FCRA, Income Tax and GST laws.
  • Collect the feedback on contract from Project PI, Central Admin, and Finance and Compile it in draft contract.
  • Closely work with Funder for revision and extension of contract.

Grant Budgeting and Financial Planning

  • Prepare and revise budgets for NIH and/or non-federal grant applications and ongoing projects.
  • Forecast and monitor expenditures to ensure they align with funded proposals and NIH/relevant funder guidelines.
  • Develop financial strategies to maximize grant funding efficiency.
  • Help organization in fund management and staff salary management

Financial Management and Reporting

  • Oversee the financial transactions and accounting for grants, ensuring accuracy and compliance with scope of the work and financial rules.
  • Prepare accurate and timely financial reports for funding agency on behalf of projects, adhering to reporting schedules, formats and funder guidelines.
  • Maintain records of all financial transactions related to grants, ensuring audit readiness.

Compliance and Audits

  • Ensure compliance with financial regulations and requirements, including allowable costs and specific conditions of grants.
  • Coordinate and assist with internal and external audits of grants, providing necessary documentation and explanations.
  • Stay updated with changes in financial policies and implement necessary adjustments in financial practices.

Cost Analysis and Allocation

  • Analyze costs and expenditures for projects to ensure they are allowable, allocable, and reasonable.
  • Manage effort reporting and certify the allocation of salaries and wages to grants (personnel mapping with financial ledgers).

Collaboration and Communication

  • Work closely with project directors, principal investigators, and research teams to provide financial guidance and support.
  • Liaise with NIH/Harvard Medical School and other finance offices for grant management issues, negotiations, and communications including review of the agreements/sub agreements.
  • Provide training and support to key project staff on financial procedures and compliance.

Grant Closeout

  • Manage the financial closeout of grants, including final financial reporting and ensuring all obligations have been satisfied.
  • Reconcile grant accounts at closeout to ensure that all funds have been appropriately expended.

Remuneration and Contractual Duration

Remuneration for this position will be commensurate with qualifications and experience and as per applicable SANGATH Policy and can be up to INR 70,000 per month. The initial appointment will be made for six months from the date of joining, with renewal up to a minimum of three years based on a performance review.
