The All India Artisans and Craftworkers Welfare Association (AIACA) is a membership-based apex body for the handloom and handicraft sectors. AIACA seeks to represent a range of organizations in these sectors and to engage in policy advocacy activities aimed at increasing the domestic and international market for handloom and handicraft products along with improving the standard of living of craft workers and to explore new and commercially sustainable models of livelihood promotion.


Overview of the Role


The role oversees end-to-end HR operations, including recruitment, onboarding, performance management, staff development, and employee welfare. It manages payroll, attendance, HRIS, compliance, audits, and policy updates while ensuring smooth exit processes. The position also supports administrative functions such as procurement, travel coordination, vendor management, and office maintenance. Additionally, it handles grievance redressal, disciplinary matters, and fosters a positive organizational culture through welfare activities and capacity-building initiatives.

Job Description


Recruitment, Joining formalities, Orientation & Exit Process:
• Job advertisement on different job portals, Shortlist the CVs, Take telephonic interview, Schedule interview with concerned ED, Salary negotiation, Issuing Offer Letter.
• Support in the development and maintaining of a pool of trainers/consultants for the organization, arranging meeting with ED, issuing Empanelment letter, issue Contract letter
• Hiring of Interns, Maintaining records and issuing Internship letter
• Joining formalities- to get all required forms filled and signed by new joinee
• Induction & Orientation of new Joinee, Policy briefing etc. Welcome on board
• Issuing appointment letters, generate email ID, issue laptop, stationery, allotment of workstation etc.
• Process exit formalities- ensure handover completed and Staff clearance & Exit form submitted. Preparing FNF settlement, issuing Experience/Relieving letter

2 Performance Management Process/Increment & Capacity Building:
• Conduct Monthly, quarterly planning meetings and Conduct half yearly performance review meeting
• Circulate Annual Appraisal forms to employees, share filled forms with ED for final feedback, conduct meetings with ED for review, prepare rating sheet in excel, Consult with ED regarding increment, Finalize increment sheet, Draft increment letters, promotion letters and distribute to employees.
• Identifying, Arranging and organizing Internal and External trainings for employees (for individual and group) as and when required

3 Employees’ Welfare activities and Grievance handling:
• Celebrations planned – Staff birthdays, fun Friday, Holi, Diwali, Christmas, other festival celebrations and outing/get together.
• Support in the development of a culture of learning within the organization
• Provide effective support and follow up to all formal and informal grievances of staff
• Handling Employee disciplinary matters

4 Salary Administration-Leave, Attendance, HRIS/File Management, HR Policy, Compliances & Audit:
• Sharing monthly attendance to staff and getting it verified for salary preparation
• Maintaining leave record and timely flagging of late coming, LWP, any leave/attendance issues for resolution and Ensure that basic compliances to organizational policy are being upheld by all staff
• Preparing Salary on timely basis, Pay slip process and handle related queries
• Maintaining employee personnel file and updating record time to time. Maintaining Employee Master Data in excel and updating.
• Undertake the necessary research to keep abreast of evolving HR policies & principles in the sector, Make changes and update the Institutional policies accordingly
• Generate EPF challan, Register new employee’s details in EPFO and generate UAN number, Maintain soft copy of Challan, deal with EPF notice and queries, Process PF withdrawal for exit employees,
• Generate ESI challan, Register new employee’s details in ESIC and generate insurance card, Maintain related records, deal with ESIC notice and queries.
• Coordinating with Finance department on different Audits and providing data as per requirement

5 Admin, procurement & IT Support:
• Effective support in admin management, Procurement - market research, save organization cost. Supervise fixed assets or any other assets procurement process, check the quotations, prepare comparative statement and finalize purchase
• Support in Booking of conference halls for Conference, Craftmark Jury or any other events,
• All travel arrangements (Train & Air Ticket Booking/Accommodation/Cab booking) to be done In-house to reduce the Administration costs
• Supervise all admin related work and IT related work and coordinate with various vendors – IT, AMC, EPABX, CCTV, Travel and Website.
• Set up an Internal Complaints Committee to prevent sexual harassment.
• Tracking & providing daily Office requirements like stationery, pantry, etc., Handling Office repair & maintenance,
• All repair & Maintenance work


Required & Preferred Qualifications


Education

Graduate/MBA /PGDM. MBA or PG diploma in Management.

Experience

Minimum of 5-8 years of experience in HR & Admin role
